POSITION TITLE: Museum Collections Intern

ORGANIZATION: Indianapolis Motor Speedway Museum

REPORTS TO: Museum Collections & Exhibits Staff

POSITION LOCATION: Indianapolis

FLSA STATUS: Non-exempt

OTHER STATUS: Seasonal, part-time

This position description is for an employee of the Indianapolis Motor Speedway, LLC, (“Speedway”) to work for the Indianapolis Motor Speedway Foundation, Inc. (d/b/a Indianapolis Motor Speedway Museum), pursuant to the relationships of the Speedway and the Foundation set forth in their Shared Services Agreement dated as of December 2006, as currently in effect and as it may hereafter be amended. 

The Indianapolis Motor Speedway Museum internship program is design to provide students with an introduction to collections management and provide hands-on experience in museum work in a small museum setting.  The internship will familiarize the intern with one collections management software/database system (PastPerfect), the processing of newly acquired collection items, and the storage of collection items.

Responsibilities:

The museum intern will assist with the day-to-day operations of the collection management functions within the Indianapolis Motor Speedway Museum.  The museum intern will work with collections management and curatorial staff on the processing of newly acquired collection objects, the creation of new exhibits, and the overall care and management of the Museum’s collections. The intern will gain practical experience in collections management and basic preservation activities.

The intern will have hands-on experience with objects in the permanent collection in terms of inventorying, assessment of condition, storage and maintenance, accessioning and deaccessioning, cataloguing, researching, and entering information into the PastPerfect database.

Specific duties may include:

  • Inventorying specific collections and amending location information

  • Researching the history of a specific object or its attribution to a specific accession

  • Assisting conservation/preservation staff in a variety of projects including environmental monitoring, conservation surveys and collection care

  • Creating records in the Museum's collection database

  • Condition reporting, marking and housing objects

  • Participating in exhibit installation

  • Processing incoming and outgoing loan materials (producing reports; assisting in packing and unpacking objects) to gain exposure to the loan program and procedures

Knowledge/Skills:

  • Undergraduate degree in museum studies, history, library science, or related academic programs.  Graduate coursework in museum studies or library sciences preferred.
  • Experience (paid or unpaid) with museums and libraries, with experience in collections management preferred.
  • Excellent organizational skills – ability to create structure and organization out of a non-structured situation.
  • Excellent attention to detail and high accuracy rate required.
  • Good written and oral communications skills, with an emphasis on inter-personal relations.
  • Ability to work collaboratively with a variety of people with different skills and abilities.
  • Ability to use technology to achieve desired results.
  • Knowledge of and experience using PastPerfect.
  • Knowledge of and experience using MICROSOFT Office products (WORD and EXCEL).
  • Experience using a digital camera and scanner.

  • Ability to communicate own plans and ideas to colleagues and individuals or organizations with which s/he interacts.

  • Ability to communicate effectively with a wide variety of people, including donors and members.

  • Keeps colleagues and supervisors informed of progress of tasks, as well as issues that require supervisor’s resolution.

  • Knows when to ask questions to seek guidance and when to move forward on his or her own.

Working Conditions/Physical Demands: 

May occasionally work all or a part of a day on weekends.
