POSITION TITLE: Credentials Representative – Event Staff                  

DEPARTMENT: Premium Services   

REPORTS TO: Manager, Credentials

POSITION LOCATION: Administration Building

FLSA STATUS: Non-Exempt, Seasonal

SPECIFIC DUTIES:       

  • Under the leadership of the Credentials Manager, Credentials Representatives assist in the implementation of the credential plan for the following IMS events; the Grand Prix of Indianapolis, Indianapolis 500, and Crown Royal 400 at the Brickyard.
  • Assists with the public sale of Bronze Badge credentials for the Grand Prix of Indianapolis and the Indianapolis 500.
  • Assists with office tasks such as laminating, alphabetizing, and other duties as assigned.
  • Helps maintain the identification of restricted areas within an event and relaying that information to customers, execution of all liability releases, agreements, and distribution procedure through the SCORE software system.
  • Responds and communicates daily to credential requests and inquiries, providing a consultative role and analyzing and presenting solutions to each and every credential request.
  • Enthusiasm for and commitment to the company and the Vision, Mission and Values.
  • Other duties as assigned by the Manager.

WORK HOURS:

This position is staffed only during our event season. Hours will vary based on event schedule. Working hours will be provided prior to each event weekend. Candidate must be able to work overtime and event weekends as needed from April through May and July.

The Safety Patrol is an iconic part of Indianapolis Motor Speedway history.  This team is responsible for essential event operations that span our 988 acre facility, and help us deliver some of the most exciting events in the world.  Whether you are interested in working at the gates, in the stands or garages, directing traffic or assisting in suites, each role is crucial to success and enhances the guest experience of thousands of race-fans.   

Seasonal positions start at $8/hour with a typical work day being 8-12 hours with breaks.  

Application process includes a background check and interview.   All applicants should have a strong desire to serve race-fans and represent the IMS brand. Key qualifications include: dependability, flexibility and exceptional customer service.  Primary dates and events include:

  • INDYCAR Grand Prix – May 11-May 13

  • 101st Running of the Indianapolis 500 – May 15-May 29

  • SVRA – June 8-June 19

  • Bloomington Gold – June 22-June 25

  • Brickyard 400 – July 22-July 23

  • SCCA Runoffs – Sept 17-Oct 2

  • Red Bull Air Race – Oct 13-Oct 15

Event hours are approximately 6am - 6pm with race days being as early as 4am.

The Safety Patrol operates 5 key areas at the Indianapolis Motor Speedway. Applicants will be placed in one of the following areas for the season:

  • STANDS & MOUNDS: Provide hospitality and customer service to guests while verifying tickets.

  • GARAGE & PITS: Verify credentials in garage, pit and media center locations. Provide hospitality in Plaza area. Provide security on Pit Lane, in Garages, and track access points.

  • TRAFFIC: Direct and park all infield, employee, and credentialed vehicular traffic.

  • GATES: Greet each guest upon their arrival and verify each guest’s ticket; check bags and coolers.

  • SUITES & HOSPITALITY: Verify all tickets and credentials at suites; provide customer service to all hospitality guests.

POSITION SUMMARY:

The Ticket Operations Event Staff role is to provide support to the ticket department activities for each major IMS event-day: Grand Prix of Indianapolis, Indianapolis 500, Brickyard Vintage Racing Invitational, Bloomington Gold, Brickyard 400, Red Bull Air Race Indianapolis, Lights at the Brickyard and any other ticket-related event.

SPECIFIC DUTIES:       

Customer Service

  • Provide all guests a positive first impression of the Indianapolis Motor Speedway by offering superior, individualized guest service. 

  • Communicate effectively with guests via telephone and face-to-face to establish their needs efficiently and provide accurate information regarding all IMS events. 

  • Provide exceptional customer service to all internal and external clients.

Ticket Sales and Service

  • Aid guests with the purchase and distribution of tickets, parking and any applicable add-ons.

  • Handle cash responsibly and accurately, with the ability to balance monies by batch to submit to Financial Coordinator.

  • Problem-solve by effectively communicating with guests to locate and deliver will-call/guest tickets.

  • Ability to be flexible and effectively explain premium/seasonal ticket packages to consumers. 

  • High level of knowledge of IMS facility and familiarity with stands, parking areas and special event sites.

  • Accurately operate IMS computer ticket system (SCORE) to process daily ticket orders and payments for packaging and fulfillment of all event tickets.

  • Operate and maintain remote ticket locations during event times as assigned.

Education

POSITION SUMMARY:

With the Ticket Sales Manager, this position provides a supporting role for the Indianapolis Motor Speedway Sales and Marketing activities.  This position will be responsible for assisting with marketing and selling group tickets to the Indianapolis 500, Brickyard 400, the Grand Prix of Indianapolis and the Red Bull Air Race.

Extensive phone work including incoming, outgoing and follow-up calls to new potential leads and former ticketing customers.

Assist the team in reaching sales goals via ticket sales to the following group sales markets: businesses, civic organizations, sponsors, car AND motorcycle clubs and fraternal organizations. Outreach to lapsed ticket customers for 2017 events.

Compliance with proven phone presentations and group sales approach.

Participate in sales events.

With the Supervisor, provides support for Facilities Department. 

Loads and unloads materials, parts, or products onto or from pallets, skids, conveyors, or trucks.

Delivers parts, stock, equipment, furniture, etc. to designated work areas.

Cleans around work areas.

Cleans sidewalks, parking lots, removes litter.

Occasionally cuts grass and mops floors.

Separates and maintains recycleables.

Drives or assists with Packer (trash truck).

Performs numerous general labor functions as needed.

Supports individuals in Facilities, Administration and Operations, the INDYCAR, management and support staff as appropriate to encourage harmony of priorities, policies, focus and results.

HOURS:                                  

  • Now through end of season.
  • 48+ hours a week with paid overtime.
  • Monday – Friday        6:00am – 2:30pm
  • Saturday – Sunday     6:00am – 10:00am

SPECIFIC DUTIES:       

  • With the Supervisor, provides support for Golf Course Turf Management Department. 
  • Maintains fairways and all adjacent Brickyard Crossing Golf Course property.
  • Cuts grass, trims and edges around golf course greens and property using hand mower or power driven lawn mower, weed trimmer and brush cutter.
  • Plants grass, trees, shrubs, or flowers according to instructions and planned design of landscaped area, using hand tools.
  • Applies mulch to designated areas.
  • Pulls weeds around bushes, trees and flower beds.
  • Cleans course grounds and removes litter.
  • Enthusiasm for and commitment to the company and the Vision, Mission and Values.
  • Other duties as assigned by the supervisor.

QUALIFICATIONS:

  • Must have at least one season of landscape or golf course maintenance experience.
  • Valid driver’s license.
  • High school graduate or GED with equivalent experience.

  • Must exhibit a positive attitude.
  • Must demonstrate the ability to function as part of a team and understand and follow instructions.

PROGRAM DESCRIPTION

Expand your resume, experience IMS behind the scenes and be a part of something spectacular with the Indianapolis Motor Speedway College Program. This program will allow students to add the largest single-day sporting event in the world to their resume, while serving thousands of race-fans at our expansive world-class facility. This program exposes college students to the essential event operations that span our 988 acre facility and help us deliver some of the most exciting events in the world.  Students will rotate through various event related roles and gain a foundational understanding of the events hosted at the Racing Capital of the World. These roles, all crucial to the large-scale event execution process, include:

  • Stand ushers

  • Guest relations

  • Non-profit volunteer and employee management

  • Traffic and parking

  • Suites and hospitality

  • Gate attendants

Students will have the opportunity to apply for leadership positions which begin mid-March and will receive $8/hour with opportunity for internship credit.

Facility Operations/Event Staff: Conversion Crew

POSITION TITLE: Tent Crew

DEPARTMENT: Client Services

REPORTS TO: Director of Client Services

DURATION: May 2017 – August 2017

SPECIFIC DUTIES:

The tent crew position is a part of the Client Services team who specifically focuses on set-up and tear down of event venues during May and July. Assist with moving all furniture between different venues during events. Tent crew will be responsible for completing daily set-up and tear down tasks as assigned. Tent crew will work on the grounds during events.

With the Director of Client Services and Client Services team, help provide support for all IMS activities.

Other duties as assigned by the supervisor.
